Archived messages will no longer appear in your inbox; however, they will continue to be saved in your Gmail account and can be retrieved by following a few simple steps. These messages are indexed and will continue to display when you conduct a search for messages in Gmail.
You are able to read emails even while they are stored in the archive; but, if you want to continue the conversation, you will need to move the messages from the conversation to the Inbox.
- Choose All Mail from the menu on the left side of the Gmail screen.
- Choose the messages that you want to bring back up to the inbox. Use the checkbox next to the email and check those messages that you want to move into inbox.
- Choose Move to Inbox from the main toolbar that’s located above the emails.
- An indication that the emails have been successfully relocated to the inbox is displayed as a confirmation. To undo what you’ve done, select the “Undo” button
A Detailed “How To” Guide On Gmail For Getting Things Done Faster
Are you new to the concept of Gmail? If you responded with a “yes” to the question, do not worry. We’ve got you covered. Here is a detailed guide on some of the handiest features of Gmail that can help you get done with your job faster.
How To Use Multiple Accounts?
If you’re a big fan of Google, having multiple Google/Gmail accounts (including one from your workplace) eliminates the need to sign in and out all the time. On the desktop, you can log in to many accounts at once (in Chrome, Firefox, or Edge). To ensure that each user stays logged in, they can each have their own tab.
To add an additional account, click on your avatar in the upper right corner of the screen and then select the option. To switch between accounts, simply click your avatar a second time, followed by the username of the desired account. Your “default” account is the one you used to log in the first time.
Chrome Profiles can be used by folks who have multiple accounts (or accounts for other people who use the computer) and want to keep them separate but accessible.
In order to create a new profile, open your browser’s upper-right profile icon, click the Pencil symbol, and then click the Add button at the bottom. The New Chrome Profile sign-in page will appear here for your convenience.
How To Add Third-Party Email Accounts to Gmail
When it comes to your email, you may not want to give up your Yahoo, iCloud, or Outlook account just because you prefer Gmail’s interface. It’s not a big deal. Gmail’s tabbed inbox and spam filtering are now available on non-Google email accounts that you add to the app.
For it to work, you must first have a Gmail account. In the Gmail app, click your avatar and select Add another account to set it up on your mobile device. Enter the credentials for the account you want to create.
On your phone or tablet, you can browse one inbox at a time, or you can see all of your emails in one unified inbox. Select Manage accounts on this device under Avatar and then deactivate or delete an account if necessary.
Add a new mail account by tapping the gear icon and selecting See all options > Accounts and Import > Check mail from other accounts > Add a mail account. Enter your email address in the pop-up box, click Next, then select Link account with Gmail.
How To Send Messages Later, On Schedule
In the past, third-party services were required to delay the delivery of a message, but this functionality is now available out of the box. To send a message, simply type in your message, then select one of the two scheduling options available by clicking the arrow next to the Send button.
How To Turn On Confidential Mode In Gmail?
Emails sent in Gmail’s Confidential Mode are only seen by those you’ve authorized and for a limited period of time.
To enable it, click the Confidential Mode lock/clock icon at the bottom of a compose window and then compose as usual. You’ll be able to select expiration dates for the message, and after that date, the message disappears and the recipient simply sees a “message expired” notice.
The recipient’s actions can be restricted by preventing them from forwarding or downloading attachments.
How To Send From a Different Email Address?
Multiple Gmail accounts or multiple email addresses on a single account are both possible. Make it appear as if you’re sending from a different Gmail account by adding all of those addresses to your primary Gmail account.
You can do this on a per-message basis or consistently. You can add numerous email addresses by going to Settings > Accounts and Import > Send Mail As. Sending messages from one account to several recipients is a breeze with this feature enabled.
How To Unsubscribe to Everything?
Getting a lot of unwanted newsletters and other spam? The unsubscribe link is usually located at the bottom of the email. Unsubscribe links appear at the top of Gmail messages (mobile and desktop) if they can be detected in a message, and they appear directly next to their sender’s name.
Gmail’s search function can be used to quickly remove unwanted subscriptions. All messages using the word listed will be included in the list. Go over each one one by one. This is the closest thing to mass unsubscribing that you can do without using a third-party platform.
How To Undo A Sent Mail?
We’ve all experienced the agony of sending an email too soon. In Gmail, you can create a buffer to allow you to rescind a message that was sent in error. Undo Send is enabled by default and cannot be disabled. However, you can change the amount of time you have to unsend a message.
See all settings > General > Undo Send and choose from the drop-down menu how long you want to be able to undo a message before it is permanently deleted (5, 10, 20, or 30 seconds). Then click the Save button at the bottom of the page. Whenever you send a message, you’ll notice an Undo link floating in a black box in the lower-left corner of the screen on desktop and in the lower-right corner on mobile, respectively.
Your message will not be sent if you do not click the link within the allotted time period. A re-edit or a complete deletion are both options available to you. For example, if you accidentally delete a message while it was still in progress, you can restore it and start over.
How To Drag Messages or Labels?
Gmail uses labels rather than folders. They’re basically the same, if a little awkward for people who are accustomed to the folder system. Drag and drop a message from the inbox to a label to archive it for later use. It’s possible to go backtrack if a specific email in your inbox demands additional attention. You can move the label by dragging it from the sidebar to the message. As long as it’s in the inbox, it’s ready to be archived.
How To Filter Out Email Address Disguises/Aliases?
Do you know how to remove email addresses disguised as other email addresses?
A period in your email address will not be ignored by Gmail. This means that yourname@gmail.com is the same as yo u r name@gmail com or even y.o.u.r name@gmail com. The same person receives them all. In spite of the fact that this function may appear pointless, it is a terrific trick for signing up for newsletters or sharing your email address—for example, you can check who has sold your identity to spammers.
Filtering mails with this alias is a breeze because Gmail’s filters are smart enough to recognize what comes after the plus sign. By using yourname+news@gmail.com as your primary email address for all newsletter subscriptions, you can avoid filtering messages from every particular newsletter sender.
How To Get Smart Replies On Desktop?
Smart Reply is a piece of software that uses machine learning to craft three concise responses to incoming messages. Adding an offered reply to the response box lets you transmit it or add further text with a single tap.
On the Gmail app for iOS and Android, as well as on the desktop browser interface, it’s available. These suggestions can be turned off via See all options > General > Smart Reply > Smart reply off, and then scroll down to save changes if you find them bothersome.
As you compose an email, Smart Compose will provide you with words and phrases that you can use. I hope you’re fine, for example, will show up in the greyed-out text. If you wanted to say that, simply press the tab key, and Gmail will enter “are well” into your message for you.
If you don’t want it, just keep typing and it will go. In order to disable this feature, go to the Smart Compose menu and select the option to disable writing recommendations.
How To Hit the Mute (or Snooze) Button?
Use the mute button on email threads that you wish to delete. Alternatively, you can right-click on the thread to bring up a menu with the option to Mute, then select the ellipsis icon at the top of the window.
Even if fresh messages are posted, the topic will still be available in the archive. Unless you are the intended recipient or conduct a manual search, you will not be able to see any further messages in the thread.
Simply right-click on a thread and select Snooze to temporarily silence it. If you select snooze, the message will be temporarily removed from your inbox and reappear at the time you specify.
How to Select All Gmail Emails?
In Gmail, the upper-left corner checkbox is used to select all of the messages in a label, right? Almost. The first page of results is limited to 100 things, thus if you check that box, you’ll see every conversation on that page. Check the box if you want to see all the talks that fall under that classification, whether or not they’re displayed on the page.
How To Get Attached?
Don’t forget to attach your attachments before sending them. The good news is that Gmail will pop up a reminder if you push send without attaching anything and your message contains the phrase, “I have attached” or “I have included.”
It is possible to drag and drop files from the desktop to a Gmail message with this application. If you don’t drag the image file to the toolbar below the composition pane, it will be included in the message. As of this writing, Gmail messages are limited to 25 megabytes in size. If your file is too large, it will be stored in Google Drive and the recipient will receive a link. Attachments of up to 50MB can be sent to you.
Attaching files from your Google Drive account does not count towards the 25MB restriction if you are a frequent user. Choose an attachment by clicking the Insert Files Using Drive icon in the composition window’s toolbar and selecting an appropriate file. Using this method, you can send files other than EXE files that are blocked by Gmail. More information can be found at the following link: How to Send Large Files Over the Internet.
The same can be done with Dropbox if you’d want. If you’re using a Chrome browser, install the Dropbox for Gmail Chrome extension.
How To Establish a Delegate?
Anyone, from a coworker to a romantic partner, can have access to your Gmail account and manage it on your behalf. Grant access to your account under See all options > Accounts and Import > Add another account.
Your email address has to end with the same domain name as the person’s Google or Gmail account. Change your password right away if you encounter a delegate on the path above who you didn’t allow.
How To Delete Big Messages?
Delete some messages if you’ve used up the 15GB of free storage Google gives and don’t want to pay for further storage. Replace the x with a number to search for “size:xm” in the URL. In computing, the “m” stands for megabytes. A large attachment is likely to be included in any message that exceeds 10 MB in size. It’s best to keep them on your computer’s hard drive rather than in Google Drive, which is shared storage with Gmail.
How To Open Shortcut Cheat Sheet and Enable Shortcuts?
You can perform almost anything with a single click using Gmail’s extensive set of keyboard shortcuts (hit the C key to start a compose window, for example). To see them all, use Shift+? You can do this by clicking the gear symbol on the top right and selecting See all settings > Keyboard shortcuts > Keyboard shortcuts on.
The settings will be overwritten if you add a new shortcut. To keep your changes, click the Save Changes option at the bottom.
How To Send+Archive?
To add a label to a message before it is sent, select More Options from the compose window’s menu bar at the lower right. When it’s sent, you’ll be able to immediately archive it. Select See all settings > General > Send and Archive from the menu bar to get started. Reply with a “Send & Archive” button.
Even though it doesn’t state “archive,” Gmail’s “archive icon” (the file box with a down arrow) appears in the Send+Archive button, you can use it to archive the message you’re now writing. Clicking this button will archive the entire thread to a label that has already been pre-assigned.
How To Do A Power Search?
When using Gmail, the easiest method to conduct a power search is to click the down arrow in the search box, which brings up a complete search dialog box. This is the only way to do this. However, Gmail supports a wide variety of search operators (Opens in a new window).
For instance, to limit your search to just those folders (which are typically ignored), write “in:trash” and “in:spam” in the appropriate boxes. You can also limit a search to simply the “in:inbox” folder.
To restrict your search to a certain folder, use the “label:” prefix followed by the folder’s name. The “filename:” prefix, followed by the name of the desired attachment, narrows the search results.
